Obtaining Learner Acknowledgements

You have several options for capturing learner acknowledgements in SmarterU. Whether you need a learner to agree to terms before accessing courses, affirm they understand their responsibilities upon completing their training, or upload a file, SmarterU can help you ensure accountability.

While these methods are excellent for tracking training, they may not meet the requirements for legally binding electronic signatures. Always consult your legal department for high-stakes agreements.

Pre-Course Agreements

If you want learners to agree to certain terms before they can access your training, you can set up a “gatekeeper” course that’s a prerequisite course to your other training. The "gatekeeper" course is an online course that includes a single-question quiz asking the learner whether they agree to the terms of the agreement.

When the learner agrees, they pass the course and can continue to their training. If they reject the agreement, they fail, and SmarterU prevents them from accessing any courses that require the agreement.  

To set up a pre-course agreement:

  1. Add an online course that will serve as your “gatekeeper” course.

  2. Add a quiz to the course with these settings.

  3. Click Save.

  4. Add a question to the quiz with these settings.

  5. Click Save.

  6. Edit your other courses to include the “gatekeeper” course as a prerequisite that must be completed and passed.

You can use the Enrollment Report to view a learner’s progress on the “gatekeeper” course.

Enter the text to display if the learner agrees to the terms of the agreement.

Max Failure Message

Enter the text to display if the learner does not agree to the terms of the agreement. For example, you may want to instruct the learner to exit the course, speak to their supervisor, or take some other action.

If you'd prefer to attach the agreement as a PDF, change the Question Format from Text/Audio to PDF File and attach the file. Learners will have to click the link in the quiz question to view the PDF.

Correct Answer

Enter the text to indicate that the learner accepts the agreement.

Incorrect Answer

Enter the text to indicate that the learner does not accept the agreement.

Post-Course Affirmations

If you want learners to complete their training first, then confirm that they’ll apply what they’ve learned, you can set up a post-course affirmation. This is useful when you want learners to confirm they’ll abide by safety procedures, codes of conduct, or policy updates covered in the course.

To add a post-course affirmation, you can add a one-question quiz to the end of your course, presenting the information the learner needs to agree to. The learner must click agree to complete the course.

To set up a post-course affirmation:

These instructions assume that this is the only quiz in the course.

  1. Edit the content of the online course that you want to add the affirmation to.

  2. Add a quiz to the end of the course with these settings.

  3. Click Save.

  4. Add a question to the quiz with these settings.

  5. Click Save.

Confirmed File Uploads

Suppose you want a learner to sign a document or submit some other form of acknowledgment? For example, maybe you want them to agree to the company’s code of conduct.

To do this in SmarterU, you can add an action to a learning plan requiring learners to upload a specific file, such as a completed form or checklist.

You can then require an administrator, supervisor, or another designated user to review the action’s uploaded file and confirm it. If the learner doesn’t complete the action, their learning plan will not be considered Met.

To require a file upload from a learner:

  1. Add an action.

  2. Specify the action settings as follows:
